Frequently Asked Questions
AUSVANTA • Compliance. Simplified.
Getting Started
What is Ausvanta?
Ausvanta is software built for Australian NDIS providers. It brings your participants, staff, scheduling, case notes, and records into one place, so your team spends less time wrestling spreadsheets and disconnected tools, and more time on service delivery. The goal is simple: less administration, fewer errors, and a clearer picture of your operation.
Who is Ausvanta for?
Registered and unregistered NDIS providers of all sizes — from a new business taking on its first participants to an established organisation managing multiple teams. It suits Supported Independent Living (SIL) and SDA, Support Coordination and Plan Management, Allied Health, and Community Access and individual support providers.
What can I manage in Ausvanta?
You can maintain participant and client records, manage your staff and their details, build and view rosters and schedules, record case notes and progress against goals, and store the documents that keep your service running — all from a single secure platform that your office team and field workers can both use.
Does it work for field staff on the go?
Yes. Ausvanta is designed so support workers can access what they need away from the office, log notes, and stay connected to the schedule without being tied to a desk.
Can I try it before committing?
Absolutely. Book a personalised, obligation-free demo and one of our team will walk you through the platform, focused on the features that matter most to your service. It’s the best way to ask specific questions and see how Ausvanta fits the way you already work.
Features & Day-to-Day Use
Can I control who sees what?
Yes. Ausvanta uses role-based permissions, so your people only see the information relevant to their role. Activity is recorded with audit trails, giving you a clear, accountable history of who did what and when.
Will it help reduce manual errors?
That’s the point of bringing everything into one platform. When your records, schedules, and notes live in one connected system instead of separate spreadsheets, you cut out the double-entry and version-control mistakes that lead to wasted admin time and rework.
Can Ausvanta handle multiple service types or teams?
Yes. The platform is built to adapt to different workflows across the services you deliver, so a provider running several support types can manage them together rather than juggling separate systems.
Compliance, Security & Your Data
Where is my data stored?
Your data is hosted in Australia and managed in line with the Australian Privacy Principles (APPs). Disability service records are sensitive, and the platform is built to treat them that way — with role-based access and audit trails throughout.
How does Ausvanta help me stay audit-ready?
By keeping your participant records, staff details, notes, and documents organised and accessible in one place, with a clear activity history behind them. Good records, easy to find, are the foundation of being ready when you’re asked to show your work.
Is Ausvanta a replacement for spreadsheets?
For a small start-up, spreadsheets can work — but they get fragile fast as you grow. Scattered sheets make it easy to lose track of records, double-book staff, and miss things. Ausvanta unifies scheduling, records, and notes into one secure platform so your operation can scale without the admin load scaling with it.
What’s Coming Next
We’d rather tell you straight than overpromise. Several capabilities are in active development and on our near-term roadmap. They’re not in the platform yet — when they ship, they’ll be announced properly.
Does Ausvanta connect to PACE?
Not yet. PACE alignment is on our roadmap, and we’re building toward it deliberately. If PACE support is central to your decision, talk to us and we’ll tell you exactly where it stands.
Does it integrate with PRODA or myID?
Not currently. Secure authentication via Australian government identity frameworks is a planned future capability, not a live feature today.
Can I submit NDIS claims through Ausvanta?
Claiming and billing automation — including bulk claiming and payment reconciliation — are part of what we’re building, but they aren’t available yet. We’ll be clear about timing as it develops.
Does Ausvanta calculate SCHADS Award pay?
SCHADS-aware payroll is on the roadmap. It isn’t live in the current platform, and we won’t claim it until it is.
Onboarding, Pricing & Support
How do I move across from another system?
Our team helps you migrate. We work with you to bring your participant profiles, staff records, and service information across into your new Ausvanta environment, with checks along the way so nothing important is lost in the move.
How long does setup take?
It depends on the size of your organisation and the state of your current data, but most providers are up and running within a few weeks. We set up your environment, bring your records in, and run training so your team feels confident before you go live.
How much does Ausvanta cost?
We offer plans to suit providers from start-up to enterprise, with unlimited users on every plan. See our Pricing page for current tiers, or book a demo and we’ll help you find the right fit.
What support do I get?
Australian-based support. We don’t hand over a login and disappear — our team works alongside you through onboarding and stays available as you go. Every plan includes unlimited users, so support and access aren’t gated behind seat counts.
What should I ask any NDIS software vendor before buying?
Good questions to ask: Is my data hosted in Australia and APP-compliant? What’s actually built today versus on the roadmap? How are migration and training handled? Are there hidden costs for users, migration, or updates? (We’re happy to answer all of these plainly — including which features are live and which are coming.)
